Job Title: HR & Admin Officer
Job Summary/Objective:
Reporting to the Head of Human Resources, the HR & Admin Officer will support the implementation of HR and administrative functions across the organization. This role includes handling employee relations, HR compliance, recruitment, performance management, training coordination, and office administration to ensure a smooth and efficient work environment. The officer will play a vital role in maintaining operational continuity by supporting both human resource functions and day-to-day administrative needs.
Key Responsibilities:
1. Employee & Industrial Relations
- Assist in managing employee relations issues, grievance handling, and disciplinary actions in line with HR policies.
- Foster positive relations between management and staff, including union interactions where applicable.
2. HR Compliance
- Support compliance with Kenyan labor laws, internal HR policies, and health & safety regulations.
- Help coordinate statutory requirements such as Statutory Audits, OSH Committee meetings and mandatory employee training among others.
3. HR Administration
- Maintain accurate and updated employee records (contracts, leaves, attendance,)
- Submit accurate and timely payroll-related data to Finance/Payroll departments.
4. Recruitment & Onboarding
- Facilitate recruitment logistics, including job advertising, CV screening, interview coordination, and onboarding.
- Manage induction schedules and employee orientation programs.
5. Performance Management
- Support the implementation of the performance management system.
- Coordinate the collection and tracking of performance key indicators and reviews.
9. Administrative Responsibilities
- Office Management: Oversee the cleanliness, organization, and maintenance of the office environment.
- Supplies & Inventory: Monitor and manage office supplies, stationery, and equipment inventory.
Ensure timely procurement and restocking. - Front Office Oversight: Ensure efficient handling of calls, visitors, and mail distribution.
- Records Management: Maintain administrative documentation and filing systems (physical and digital).
Qualifications:
Bachelor’s degree in human resource management, Business Administration, or related field.
- Higher National Diploma in HRM is an added advantage.
- IHRM membership is required.
- CHRP certification is a plus.
- Minimum of 3 years’ experience in HR and administrative roles, preferably in a unionized and labour-intensive environment.
- Strong knowledge of Kenyan labor laws and HR best practices.
