Title: Operations Assistant

Location: Nairobi, Kenya

Start Date: 1 week

The Operations Assistant supports the daily operations of the company by assisting with planning, coordination, and execution of moves and warehouse activities. The role ensures that operational tasks are carried out efficiently, documentation is properly maintained, and customer service standards are met in accordance with the company’s Standard Operating

Procedures (SOPs).

1. Scheduling and Coordination

  • Assist in scheduling and coordinating client moves, including preparation of necessary materials and resources.
  • Ensure teams depart for assignments on time, generating reports for any moves ending past 8:00 PM for review in operations meetings.

2. Operational Oversight

Monitor job progress in real-time and provide timely updates to the Operations

Manager.

  • Liaise with movers to ensure timely arrivals, efficient execution of assignments, and proper closure of jobs.
  • Actively participate in daily and weekly operations meetings, offering input on challenges and suggesting operational improvements.
  1. Documentation and Reporting
    Maintain accurate records of operational documents, including job orders, client feedback forms, and debrief reports.
    Track and report client complaints, supporting their resolution in collaboration with relevant departments.
    Conduct incident investigations, perform root-cause analysis for client complaints and non-conformances, and share analysis reports.
    Recommend necessary training to the Academy Principal based on findings
  2. from root-cause analyses.
  3. Quality Control
    Conduct regular spot checks on staff grooming, cleanliness, and compliance with company standards.
  • Inspect vehicles for cleanliness and appropriate branding, recommending corrective actions where necessary.
  • Enforce strict adherence to safety protocols during all phases of service delivery.

5. Client and Staff Relations

  • Serve as a point of contact for both client and mover complaints, ensuring swift and satisfactory resolution.
  • Support operational needs during company events, training sessions, or
  • recruitment drives.

6. Efficiency and Innovation

Identify operational inefficiencies and recommend strategies to optimize resource utilization, reduce costs, and minimize wastage.

  • Innovate new methods and workflows to improve operational efficiency, safety, and service delivery.
  • Contribute to route optimization and logistics planning to enhance service timelines and reduce transit delays.

7. Additional Duties

• Perform other operational tasks as assigned by the Operations Manager.

Qualifications & Competencies

  • Education: Diploma or Certificate in Logistics, Supply Chain Management, Business Administration, or related field.
  • Experience: 1-2 years’ experience in an operational or logistics role preferred.
  • Skills:
  • Strong organizational and coordination skills.
  • Good written and verbal communication.
  • Attention to detail with strong record-keeping abilities.
  • Proficiency in MS Office (especially Excel) or inventory management software.
  • Ability to work early hours and can excel in a fast-paced working environment
  • Self-driven, reliable, diligent and ability to plan, and prioritize tasks
  • Attributes:
  • Positive attitude and strong work ethic.
  • Team player with willingness to learn.
  • Physically able to support warehouse operations when necessary.
